Bookkeeper and Office Manager, Part-Time
Collective Roots, a small, but growing, nonprofit organization is looking for a part-time bookkeeper and office manager. The ideal candidate should be comfortable working with a non-profit business, as well as working in a bustling elementary school setting.
Organization Description
Collective Roots is a non-profit organization that is based in East Palo Alto and that employs a highly collaborative methodology for accomplishing work in four key program areas: garden based learning, food system change, environmental action, and youth development. Currently, the organization is based at East Palo Alto Charter School (EPACS) where 400 students and their families are learning the links between human and environmental health through the cultivation of a school-based organic garden that is nearly an acre in size. Collective Roots has developed a unique approach to integrating environmental science, nutrition, and food system change into the core curricula for kindergarten through eighth grade students. Collective Roots educational programs aim to encourage healthy lifestyles, leadership skills, stewardship of the land, and a stronger sense of community.
Your responsibilities, duties and tasks will include:
Accounting Tasks
- Maintain the chart of accounts and standard accounting procedures.
- Accounts payable & receivable
- Journal entries
- Banking and reconciliations
- Tracking/allocation of costs to funding sources (grant allocations)
- Budgeting and cash flow
- Oversee expense reports
- Maintain general ledger and chart of accounts
- Prepare monthly Financial Reports for the Board of Directors
HR & General Office Tasks
- Update and maintain donor database in Salesforce
- Problem solving: setting up and maintaining systems
- Processing employee benefits
- Payroll reporting
- Worker’s compensation payroll reports
- Business insurance renewals
- Create monthly reports for the Executive Director, write thank-you letters/receipts, and other reports as needed for donors and foundations.
Other office functions will include (but not limited to) filing, answering phones, personnel functions, and other duties as assigned.
We seek a team player and someone comfortable in the nonprofit environment. The candidate will be accountable to the Executive Director and the Financial Officer on the Board of Directors of Collective Roots.
Our office uses QuickBooks (Nonprofit Premier Edition 2008), Excel, Word and Outlook. Payroll is generated off-site.
We request availability on site at least 2 weekdays with a total of 20 hours worked per week.
Qualifications:
- Minimum 5 years of bookkeeping experience, with expertise in QuickBooks and Excel.
- Must have a working understanding of GAAP, financial management, budgeting, and reporting.
- Must have previous payroll experience.
- Should be organized, self-directed, self-motivated, detail-oriented and accurate.
- Strong preference for accounting training, degree, certification, or other pertinent qualifications and previous experience in nonprofit or small business settings.
This is a part-time position for approximately 20 hours per week.
Salary commensurate with experience.
